Step 4 · Messages and books

WhatsApp and booking calendar

Your customer messages your business on WhatsApp, chooses an available time and confirms it. The business owner chooses one place for bookings: Notiz Randevu or a compatible system the team already uses.

What we do

Keep WhatsApp bookings in the calendar your team uses

Where will bookings be recorded?

Notiz Randevu

The business owner chooses a team calendar and appointment length. When the customer confirms a time, the booking is recorded in Notiz. Your team can move it, record attendance and review booking sources at the end of the month.

Your existing booking software

If your software can share availability and create appointments, we can connect the bot to it. The customer receives confirmation when that system confirms the booking. The record stays there; a second appointment is not created in Notiz.

  • A customer sends RANDEVU on WhatsApp, chooses an available time and replies with the ONAY code they receive. If the slot fills in the meantime, they can choose another.
  • Your team can also enter phone and walk-in appointments directly in Notiz Randevu and record how each customer found you.
  • If your external system cannot confirm the booking, the customer receives your team’s phone number. The business owner can use the reference on the connections screen to check the outcome.
  • Optionally connect Notiz to a dedicated secondary Google calendar. Start times, durations and cancellations sync for one-off events of up to 12 hours with no guests. Customer names, phone numbers and notes stay private.

What you get

  • Time selection and customer confirmation through WhatsApp
  • Appointment creation in your chosen calendar
  • Opt-in appointment reminders using an approved WhatsApp template
  • Two-way time and cancellation updates between Notiz and a dedicated Google calendar
  • Source and attendance reporting for bookings on the Notiz calendar

How we work

We start with how customers find you today. That guides what we set up and which booking channels we review together each month.

  1. Connect your business number

The business owner connects the official WhatsApp Business number. The contact button on your site opens a conversation with that number.

  2. Choose where bookings go

For Notiz, select a team calendar and appointment length. If you use other scheduling software, we check its availability feed using credentials issued for your business.

  3. The customer confirms a time

The bot lists available times. The customer replies with the code for their chosen slot to book it. They can also send EKİP to get your team’s phone number.

  4. Record reminder preferences

Automatic reminders require your connected business number, a Meta-approved template and the customer’s permission. For bookings in external software, the provider must list upcoming appointments and verify each booking’s current time, phone number and status before sending. The owner enables this option separately.

Questions

Common questions about the work, pricing and the first conversation.

Can I keep using my own booking software?

Yes. Your software must be able to share availability, create an appointment and confirm its outcome. We check the connection using credentials issued for your business. After the customer confirms the time on WhatsApp, the booking is recorded only in your software.

Who owns the accounts and the data?

You do. Google and Yandex profiles, Analytics, Search Console and the website stay in your name, and we only get access. If we stop working together, removing our access is all it takes.

Which businesses do you work with?

We work with local businesses that find customers nearby and work by appointment, such as clinics, beauty centers, veterinarians and consultancies. The examples on this page use a dental clinic, and the steps are the same in every sector.

What determines the price?

The price depends on the competition in your district, how many branches you have, whether you have a website and which services you choose. We give you the price after the first audit, once it is clear what you need. You know what you pay for before any work starts.
